In short
- WhatsApp without a CRM is a risk: conversations live on personal phones and are lost when someone leaves.
- The official WhatsApp Business API allows one number shared by several agents, approved templates and every message logged on the contact record.
- A useful B2B pipeline has few stages, clear entry criteria and is adapted to your channel (distributor, importer, end customer).
- The CRM really pays off when it is connected to outbound prospecting and to your ERP, for example Holded.
- Track a few KPIs and review them weekly: response time, stage conversion, sales cycle and deals with no activity.
CRM with WhatsApp for B2B companies: why your sales team needs one
In many industrial SMEs, B2B sales work like this: a salesperson talks to the customer by phone, sends the quote from their own inbox and settles the details on WhatsApp from their mobile. It works while the team is small and nobody leaves. As soon as it grows, nobody knows what was promised to whom or where each deal stands.
A CRM for B2B solves this with a simple rule: every company, contact and deal has a record, and all sales activity is logged on it. The pipeline stops being a spreadsheet updated by one person and becomes the real picture of the business.
The risk of using WhatsApp without a CRM
WhatsApp is now a first-class B2B sales channel: distributors, installers and buyers use it to ask for prices, confirm lead times or send photos of an issue. The problem is not the channel but where the conversation lives.
- No traceability: conversations sit on personal phones and nobody else on the team can see them.
- Dependence on one person: if the salesperson leaves or changes number, the customer history leaves too.
- No quality control: you cannot measure response times or see which opportunities went unanswered.
- Data protection risk: customer data on personal devices, mixed with the employee's private life.
A WhatsApp Business CRM moves those conversations to a company number, visible to the team and linked to each customer's record.
What Clientify brings to a B2B sales team
Clientify is a Spanish CRM that combines sales, marketing and communication in one platform. According to the public information on clientify.com, as of October 2026 it includes, among others, these features:
- Sales processes (pipelines): stages, deal assignment, tasks and tracking of which leads need attention.
- WhatsApp on the official API: Clientify is listed as a Meta Business Partner; several agents reply from the same number and every message is logged on the contact record.
- Multi-user inbox: WhatsApp, email, Instagram, Facebook Messenger and web chat in one shared inbox, with visible owner and history.
- Automation: workflows triggered by stage changes, forms or tags, including approved WhatsApp templates.
- Forms, landing pages and campaigns: web lead capture, email marketing and WhatsApp campaigns to segmented lists, with lead scoring.
- AI: a chatbot that answers 24/7 and hands over to a salesperson, an assistant with summaries and suggested replies, and AI-generated sales proposals.
- Sales and closing: quotes, meeting scheduling, e-signature, reports and an open API with webhooks for integrations.
As an official Clientify partner, at Vycte we do not recommend switching everything on from day one. Start with the pipeline, WhatsApp and email; automated marketing comes once the sales process is in order.
Official WhatsApp Business (API) vs the WhatsApp Business app
Many people think they already use «WhatsApp Business» because they have the green app with the B on their phone. But the app and the official platform (API) are different products, built for different needs.
| Criterion | WhatsApp Business app | Official API (WhatsApp Business Platform) in a CRM |
|---|---|---|
| Who it is for | Freelancers and very small businesses | Sales and service teams with several people |
| Users | One main phone and a limited number of linked devices | Several agents on the same number, with permissions |
| Chat assignment | No: everyone sees everything, no owner | Yes: each conversation has an owner and history |
| CRM logging | Manual (copy and paste) | Automatic on the contact and deal record |
| Messages outside the 24-hour window | Unrestricted, but no control or measurement | Only with Meta-approved templates and customer opt-in |
| Automation and bots | Quick replies and basic away messages | Stage-based workflows, forms and AI chatbots |
| Cost | Free app | Per-message pricing by country and category, plus the CRM licence |
On cost: according to the WhatsApp Business Platform pricing page, Meta charges per delivered message depending on the country and category (marketing, utility, authentication and service). When a customer messages you, a 24-hour customer service window opens in which your service messages are free of charge.
How to design your B2B pipeline in the CRM
The most common mistake is copying a generic software pipeline. An SME selling to distributors and importers has different stages: samples, approvals, price lists by Incoterm or trial orders. The pipeline should reflect how your customer buys, not how you would like to sell.
| Stage | Entry criterion | Typical action or automation |
|---|---|---|
| 1. Contacted | First message sent (campaign, trade fair or referral) | Follow-up task after 4-5 days if no reply |
| 2. Interest confirmed | Replies and asks for information or prices | Alert to the salesperson and catalogue sent in their language |
| 3. Meeting | Video call or visit scheduled | Email or WhatsApp reminder before the meeting |
| 4. Samples and documents | Samples, data sheets or certificates sent | Task to check receipt and feedback |
| 5. Offer | Price list, Incoterm and terms sent | Scheduled follow-up and alert if there is no activity |
| 6. Trial order | First order or distribution agreement under negotiation | Create quote or order in the ERP |
| 7. Won / Lost | First order confirmed or discarded | Mandatory loss reason; customer created in the ERP |
Three rules we apply in every rollout:
- Between 5 and 8 stages. More stages do not give more control, only more friction for the salesperson.
- Objective entry criteria. «Meeting» means a meeting scheduled, not «seems interested».
- Separate pipelines for different processes: winning new distributors, repeat business with active customers and tenders or projects should not be mixed.
If you sell abroad, add fields you do not need at home: country, buyer language, usual Incoterm, currency and whether the contact came from a specific trade fair. They let you segment campaigns and measure which markets convert. To choose those markets, Exporta.ai analyses demand by product or HS Code and suggests buyers.
Useful automation in a CRM for sales teams
Automating does not mean sending more messages. It means taking repetitive tasks off the salesperson so they can spend their time talking to customers. These are the automations with the best return in a B2B CRM for sales teams:
- Automatic lead assignment by country, sector or product, with an instant alert to the owner.
- First reply on WhatsApp with an approved template when someone fills in a website or landing page form.
- Follow-up tasks on stage changes: if an offer has had no activity for 7 days, the CRM creates a task and alerts the owner.
- Meeting reminders by email or WhatsApp to reduce no-shows.
- Qualification chatbot out of hours: asks for country, volume and customer type, then hands over to the salesperson with the answers.
- Stalled-deal alerts for the sales director, once a week.
If you need logic the CRM does not cover natively, such as cross-checking data with other tools, you can use Make or n8n. We explain it in our guide to automation with Make for businesses.
Connecting the CRM to prospecting and to Holded
A stand-alone CRM only does half the job. Its value multiplies when it receives leads from prospecting and hands won customers over to the ERP, without anyone typing the same data twice.
From outbound campaigns to the CRM
In our international B2B prospecting campaigns we work with tools such as Apollo, LinkedIn Sales Navigator and Instantly. When a contact replies with interest, they should enter the CRM as a deal at the right stage, tagged with the source campaign, language and country. That way you know which campaigns generate sales, not just replies.
From CRM to ERP: Clientify and Holded
Many SMEs use Holded as their ERP for invoicing, inventory and accounting. The typical connection works like this: when a deal is marked as won in Clientify, the customer is created or updated in Holded and the quote or order is generated; then the invoicing and payment status flows back to the CRM so the salesperson can see it. Clientify offers its own Holded integration that syncs contacts and companies both ways; quotes, orders or payment status are added with both tools' APIs or with Make. You will find the details in our guide to Holded integrations and in our Holded implementation service.
How to implement Clientify with a partner, phase by phase
Implementing Clientify is not opening an account and importing a spreadsheet. A CRM the team does not use is just a cost, and the difference comes from upfront design and training. This is the process we follow at Vycte:
| Phase | What is done | Deliverable |
|---|---|---|
| 1. Assessment | Interviews with management and sales; map of the current sales process | Documented sales process and CRM objectives |
| 2. Design | Pipelines, stages, custom fields, permissions and assignment rules | Configuration approved before touching data |
| 3. Data | Cleaning, de-duplication and migration of contacts, companies and deals | Single, reliable database |
| 4. Channels | Connection of WhatsApp Business API, email, forms and web chat | Shared inbox up and running |
| 5. Automation and integrations | Follow-up workflows, templates, connection to prospecting and ERP | Tested automated processes |
| 6. Training and go-live | Role-based sessions (sales, management, marketing) and support in the first weeks | Team using the CRM every day |
| 7. Review | KPI analysis and adjustments to pipeline and automation | Usage report and improvements |
Phase 2 is the one most often skipped and the most expensive to fix later. Designing on paper before configuring avoids redoing fields and stages once data is loaded. If your team needs extra training in sales or tools, we cover it in our training service.
Common mistakes when rolling out a CRM with WhatsApp
- Migrating the database as it is. Duplicates, old emails and contacts without a company pollute the CRM from day one.
- Keeping personal WhatsApp in parallel. If people can keep using their own phone, the CRM will never have the full history.
- A 12-stage pipeline. Nobody updates it and reports stop being reliable.
- Automating a process that does not exist. First define who does what and when; then automate.
- Using WhatsApp for cold mass messaging. Without opt-in, the number loses quality and risks being blocked.
- Not connecting to the ERP. Double data entry creates errors and distrust in the CRM.
- Training only once. Usage drops within weeks if nobody reviews the data or gives feedback.
Sales KPIs you should track in the CRM
With the CRM properly in place, you can stop guessing about sales and start measuring them. You do not need a dashboard with 30 indicators. These are enough to run a B2B sales team:
| KPI | What it measures | What it is for |
|---|---|---|
| First response time | Hours between the lead's first message and the team's reply | Spot leads going cold through lack of attention |
| Stage conversion | Percentage of deals that move to the next stage | See where the process gets stuck |
| Sales cycle | Days from first contact to first order | Forecast revenue and plan prospecting |
| Pipeline value | Value of open deals, by stage and salesperson | Anticipate whether you will hit target |
| Deals with no activity | Deals with no task or contact in the last X days | Avoid losing sales through neglect |
| Source of won customers | Campaign, trade fair, website or referral behind each sale | Invest in the channels that bring customers |
Review these figures in a 30-minute weekly sales meeting, with the CRM on screen. It is the most effective way to get the team to keep data up to date.
Frequently asked questions
Which WhatsApp CRM is best for a B2B company?
The best one integrates the official WhatsApp Business API, lets several agents work on one number and logs every message on the customer and deal record. Clientify meets those requirements and also includes pipelines, automation, forms and campaigns. Before choosing, check that it integrates with your ERP and that your team will actually use it every day.
Can I use my current WhatsApp Business number in the CRM?
Generally yes, but connecting a number to the official API changes how it is used and comes with Meta requirements, such as business verification. Before migrating, check with your partner whether to use the current number or a new one, what happens to the app's chat history and whether your case allows using the same number on the phone as well.
How much does the WhatsApp Business API cost?
Meta charges per delivered message, with rates that depend on the recipient's country and the message category: marketing, utility, authentication or service. Service messages within the 24-hour window opened by the customer are free. On top of that you pay the CRM licence. Check current rates on the WhatsApp Business website.
Can I send mass WhatsApp campaigns to prospects?
Only to contacts who have consented to receive messages from your company, and outside the 24-hour window only with Meta-approved templates. Cold messaging bought lists lowers your number's quality and can lead to blocks. To win new customers, combine email and LinkedIn, and keep WhatsApp for contacts who already know you.
Can Clientify be integrated with Holded?
Yes. Clientify has its own Holded integration that syncs contacts and companies both ways. For quotes, orders and invoicing status it is extended with the APIs or with Make: the usual flow creates the customer and the quote or order in Holded when a deal is won in Clientify, and sends the invoicing status back to the CRM. The salesperson sees everything without opening the ERP, and double data entry is avoided.
Why implement Clientify with a partner rather than on my own?
You can do it yourself, but a partner brings method: pipeline design before configuration, data cleaning, correct WhatsApp Business API setup, tested automation, ERP integration and role-based training. That reduces the most common CRM risk, which is the team abandoning it after a few weeks.
