B2B Catalogue for Distributors: How to Build It in Holded

What a B2B catalogue for distributors needs (customer-specific prices, orders, stock) and how to set it up in Holded step by step, without PDFs or order emails.

B2B Catalogue for Distributors: How to Build It in Holded

A B2B catalogue for distributors is a private online space where each customer sees your products at their agreed price and with available stock, and can place an order without calling or emailing. In Holded you build it with the Catalog B2B gem: orders land directly in your ERP as sales orders, ready to become a delivery note or an invoice.

Why do a PDF and an order email fall short?

A PDF catalogue is out of date the day you send it: prices change, items get discontinued, stock runs out. And an order form sent by email forces someone on your team to reread, retype and correct every order.

  • One price for everyone: a PDF cannot tell an exclusive distributor from a new customer.
  • Transcription errors: every order is retyped into your management software.
  • Orders without stock: the customer orders what you no longer have and you have to tell them afterwards.
  • No traceability: nobody knows which version of the catalogue each distributor holds.

What should a B2B catalogue for distributors include?

Before choosing a tool, define what the distributor needs to buy without friction:

  • Prices and discounts per customer: each distributor logs in and sees the rates you have agreed, not a public list.
  • Real stock: if the catalogue is linked to inventory, nobody orders what you do not have.
  • Direct ordering: the customer picks products and quantities and the order reaches your system with no middleman.
  • Clear references: name, SKU, barcode and categories, so the buyer quickly finds what they restock.
  • Controlled access: a personal link with a password, not a catalogue open to anyone.
  • The buyer's language: if you sell abroad, the distributor must be able to understand product sheets, terms and messages.

How do you build a B2B catalogue in Holded?

According to the official Holded help centre, the process is as follows:

  • Activate the Catalog B2B gem from the Holded Store (a 14-day trial is available). You also need the Inventory gem to access orders created through the catalogue.
  • Create the catalogue under Inventory > Catalog B2B: choose all products or just a selection, name it and review the order.
  • Add products one by one from the product page or in bulk from the list.
  • Assign the catalogue to each contact and email them the link. A contact can only access one catalogue at a time.
  • Optional: public portal, a link you can share, where customers log in with their email and password.

There is no product limit. Orders appear in Holded as sales orders, which you can convert into an invoice or a sales ticket. According to Holded's website as of November 2026, the Catalog B2B gem costs €10 a month and Inventory is a separate paid gem; always confirm current prices on their pricing page.

How do you handle different prices per customer?

This is where a distributor gets the most value. Holded states that each customer sees in the catalogue the rates and discounts agreed with them. The key is to prepare your price lists before sending any links: decide how many price levels you use (for example distributor, wholesaler, end customer) and assign each contact to their level. There is a practical walkthrough in our article on Holded price lists.

What mistakes are common when launching the catalogue?

  • Launching without cleaning up inventory: duplicate references, missing SKUs or outdated stock erode the distributor's trust.
  • Sending the link to everyone at once: start with two or three trusted distributors and adjust before scaling.
  • Not briefing the sales team: if orders arrive in Holded and nobody reviews them, the catalogue loses its point.
  • Forgetting the next step: decide who converts the order into a delivery note or invoice, and within what time.
  • Ignoring language: a foreign distributor needs terms and messages they can understand.

If you export, combine this with a Holded guide for exporting companies and an orderly method for finding international distributors.

How Vycte helps you

Frequently asked questions

Can one customer see another's prices? No: each contact accesses a single assigned catalogue and sees the rates agreed with them. Even so, check each contact's assignment before sending the link.

Do I need an online shop to sell to distributors? Not necessarily. Holded lets you share a catalogue by link and receive orders without building an ecommerce site, although it also integrates with online shops such as Shopify, WooCommerce or PrestaShop.

How long does it take to be ready? It depends on the quality of your product and price data. With tidy inventory the catalogue is created quickly; cleaning up references, prices and contacts takes longer.
